Position Description

We are currently seeking an experienced Office Manager to join our team. The Office Manager at Grace Point Academy plays a vital role in supporting the school’s mission and vision. Working collaboratively with faculty and staff, the OM will manage various administrative responsibilities while fostering a positive and Christ-centered environment. The Office Manager will report directly to the Head of School.

Responsibilities:

Maintain the Head of School’s calendar and schedule appointments.
Compose, transcribe, and distribute communications such as bulletins and memorandums.
Establish and maintain organized filing systems for student records and reports.
Manage the FACTS database, ensuring accurate student and family records.
Oversee Preschool-7th Grade school attendance records, including distribution of tardy slips and accountability for daily entries by teachers.
Communicate with prospective families and coordinate application processes for Preschool- 7th grade students.
Schedule family interviews, readiness testing, and meetings related to enrollment and discipline.
Oversees enrollment process from start to finish, delegating as necessary to Administrative Assistant and Aides.
Maintain office equipment, oversee maintenance, and manage supply orders.
Ensure cleanliness of the office and staff workroom.
Administer first aid and manage medication dispensing, keeping thorough records.
File student immunization records as required by law and serve on the Safety & Security Committee.
Act as the point of contact for school guests and handle inquiries from parents and the public.
Coordinate parent volunteer records and background checks.
Assist with all-school photo days and other events as needed.
Perform additional tasks as assigned by the Head of School or administration.

Performance will be formally evaluated annually to assess job efficiency and help set professional goals, with ongoing informal evaluations through regular meetings with the
Head of School.
