Position Description

The Director of Admissions recruits mission-appropriate students/families and manages the admissions process.  The Director also monitors the retention of students and is the information bridge between Admissions, Marketing, and Development for external school marketing.  The Director works closely with the Director of Development and the Director of Marketing and Communications. The Director is responsible for executing the Christian vision and mission of the school and providing oversight for all phases of the recruitment, enrollment, and retention process to help Westminster Academy achieve its enrollment and revenue goals through building and maintaining a faith community of mission-appropriate students and families.  In the office of Admissions, the Director establishes relationships with, and creates a welcoming environment for prospective students and families, oversees admissions staff and the follow-up to admissions funnel activities, applicant visits and assessments, and implementation of ambassador programs.  The Director provides timely and comprehensive reporting to the Head of School, Board of Directors, and Administrative Team regarding all enrollment and retention activities and challenges. The Director develops and coordinates admissions outreach events, and continuously cultivates relationships within the Westminster Academy community.

The Director of Admissions is a minister of the Gospel in all facets of life at Westminster Academy. He/she is a role model for students and faculty and his/her walk with the Lord should be evident. The Christian mission, vision, and statement of faith of the school must guide the Director of Admissions as he/she interacts with parents, students, faculty, and all those within and outside the Westminster Academy faith community.

Specific Responsibilities:

Manage enrollment and recruitment efforts for JK-12th classical Christian school.
Direct the admissions office, overseeing all admissions office activities: inquiries, funnel process conversions, tours, assessments, and support to candidate families.
Lead the Admissions Committee through the review and decisions of all applications. Maintain official records of all applicants. Track potential enrollment by grade level.
Keep the Head of School apprised of federal and state mandates affecting the school.
Work with Chief Business Officer to guide families through the tuition assistance application process.
Serve as a member of the tuition assistance committee.
Oversee and execute plans for both new admissions and retention events; including, but not limited to:
Open Houses
Tours
Parent Coffees
Parent Education
Jump into JK
Homeschool groups
Coordinate the Amicus program for new parent & student support. Facilitate the onboarding of new parents and students by planning social engagement events, coordinating testing and any needed academic support with appropriate faculty and planning new family orientation.
Oversee student ambassador programs and ensure all ambassadors are trained.
Oversee parent ambassador program including recruitment and training of ambassadors.
Develop and maintain relationships with internal and external partners to support enrollment, including area preschools, parent’s day out programs, feeder schools, and professional groups.
Coordinate with Marketing and Communications on all advertising.
Develop strategies and plans that advance Westminster Academy and drive increased engagement with prospective and current constituencies.
Ensure updated and accurate Admissions content to promote classical Christian education through:
Admissions viewbook
Print advertising
Digital advertising and the Westminster Website
Annual report
Postcards and other program flyers
Plan and manage the department budget in order to maximize the effectiveness of all Admissions communications. Coordinate with Marketing and Communications in the bidding out of Admissions materials and filming to appropriate outside vendors.
Analyze admissions data, retention data, and surveys to detect trends and weaknesses, and then recommend appropriate changes and improvements. Create reports for Head of School and Board of Directors based on analysis of trends.
Plan and implement the annual all-school parent survey. Analyze data and create reports for the Head of School and administration based on survey results.
Conduct exit interviews for all parents withdrawing students from the school. Compile interview answers to look for trends and report to the Head of School and administration.
Manage Used Uniform Shop for new and current families.

Qualifications, Experience & Attributes
Required

A mature and growing Christian faith, with a clear personal testimony and full agreement with Westminster Academy’s Statement of Faith, mission, and vision. The Director must be able to articulate and model a biblical worldview in all interactions with families, students, faculty, and the broader community.
Bachelor’s degree from an accredited institution (Education, Communications, Marketing, Business, or a related field preferred).
Proven ability to lead and manage staff, oversee complex processes (inquiries through enrollment), and work collaboratively with senior leadership, faculty, and parent volunteers.
Strong interpersonal, communication (written and verbal), and relationship-building skills, with the ability to represent the school warmly and professionally to prospective families.
Experience analyzing enrollment and retention data, preparing reports for leadership and boards, and using data to inform strategy.
Comfort and effectiveness in public speaking, event planning/execution, and one-on-one family counseling conversations.

Preferred/Strongly Desired

Master’s degree in Education, Educational Leadership, Nonprofit Management, Marketing, or a related discipline.
Minimum of 3 years of progressive experience in admissions, enrollment management, independent school administration, or a closely related field, with demonstrated success in student recruitment and retention.
Direct experience in a classical Christian or independent Christian school setting (JK–12 preferred).
Familiarity with classical Christian education philosophy and the ability to articulate its distinctives compellingly to prospective families.
Experience managing an admissions budget, coordinating with marketing/communications teams, and overseeing print and digital admissions materials.
Knowledge of tuition assistance processes and experience serving on or supporting a financial aid/tuition assistance committee.
Proficiency with admissions CRM/software systems, Microsoft Office/Google Workspace, and basic data analysis tools.
Experience developing and training student and parent ambassador programs, as well as cultivating feeder-school and community partnerships.
Demonstrated success in retention initiatives, exit interviews, and parent survey administration/analysis.
