Position Description

Paideia Classical Christian School, located in beautiful Tampa, Florida, is seeking to hire a Director of Business Operations for the 2024-25 school year. This individual provides strategic leadership that supports the school’s mission by effectively managing the school’s financial and operational needs. The Director of Business Operations is responsible for a wide range of activities including finances, human resources, facilities, health and safety, security, technology, and risk management.

EMPLOYMENT CLASSIFICATION

12-month, full-time, exempt

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Under the supervision of the Head of School, the essential functions and responsibilities for the Director of Business Operations include, but are not limited to the following:

ACCOUNTING

  • Manage banking relationships.
  • Coordinate audit and tax requirements.
  • Prepare financial reports and projections.
  • Oversee all financial components of the school.
  • Prepare appropriate state and federal reports/filings.
  • Serve on Tuition Assistance Committee; send and track letters of awards.
  • Assist in formulating and monitoring budgets in conjunction with the Head of School.
  • Establish and maintain proper policies, processes, and procedures to safeguard all assets; Assure proper approvals and provide complete audit trails.
  • Prepare financial statements in accordance with GAAP for presentation to the Board of Directors and Head of School.

HUMAN RESOURCES

  • Prepare annual contracts for all employees.
  • Review policies and update employee manual.
  • Manage compensation process with budget process.
  • Analyze compliance with the Affordable Care Act.
  • Stay current with laws that may impact the viability of the school.
  • Ensure compliance with all employment laws and documentation.
  • Communicate all financial and personnel procedures to new employees.
  • Conduct an exit interview with departing employees and ensure proper and timely communication regarding COBRA and retirement plan distribution.
  • Investigate and acquire annual proposals for employee benefits including medical insurance, dental insurance, life/disability insurance and the retirement plan. Administer details of each plan that is chosen.

OPERATIONS MANAGEMENT

  • Maintain First Aid & CPR Certification spreadsheet.
  • Evaluate and execute contracts for office equipment purchases.
  • Oversee the facilities and maintenance needs and work completion, as they arise.
  • Negotiate and manage all phases of school facility rentals and legalities with tenants.

GENERAL TEAMWORK

  • Pray for the students, faculty, staff, families, and leadership of the school
  • Assist the Head of School and administrative team with tasks as needed and directed to help serve families, faculty, and staff with excellence.
  • Contribute to the refinement of the classical and Christian vision, traditions, structures, and policies of Paideia.

WORK SCHEDULE

This is a full-time, salary year-round position of 40 hours per week. In general, the workday is 7:30 a.m. to 3:30 p.m., five days a week. During the summer months, the workday may be reduced to 9:00 a.m. to 3:00 p.m. Tuesday through Thursday. However, as an exempt employee, the employee is expected to work beyond the workday to perform duties outlined in the job description and as assigned. There is a mandatory administrator’s meeting once a week and a daily gathering in the morning before school begins (Scholé).
