Job Title:     Business Manager
Position Type:    Staff, Exempt, Full-time, 12-month
Reports to:     Head of School
Salary:     Dependent on Experience – Salaried, paid monthly
Direct Reports:  Finance Administrator, Facility Manager, Custodian, Receptionist, Lunch Manager

Whitefield Academy is a classical Christian School for students Kindergarten Prep – 12th grade. We are a nondenominational, private, day school accredited by the Association of Classical Christian Schools (ACCS).

The Whitefield Academy Business Manager provides management and oversight of financial, legal, property, and business affairs of the school, while providing support and advice to the Head of School and Board of Trustees.  In addition, the Business Manager is responsible for supporting the school’s mission through facilitating human resources processes related to benefits, employee compensation, hiring, onboarding, and other employment issues.

Bachelor’s degree required as a minimum in Business, Business Management, or related field
Experience in Business Management, Human Resources, and/or Finance
Familiarity or experience with the classical Christian education model preferred
Member of an evangelical church able to affirm the school’s biblical, faith, and ethical standards as delineated in the school’s Statements and Affirmations on Faith and Practice

Specific Duties and Responsibilities 

Business Management 
Manage direct reports, offering guidance and expertise as needed. Train, mentor, and evaluate performances
Evaluate bids, project timelines, and budgets
Assist the Security Team identifying vulnerabilities, updating the Emergency Standard Operating Guidelines, and participating in drills
Manage the Food Prep staff and lunch program
Supervise the Finance Administrator and school’s accounting records
Maintain strict financial stewardship practices as required by the accreditation body
Attend Board Finance Committee meetings with the Head of School. Provide reports as requested
Manage Insurance claims and renewals
Attend regular meetings with the Head of School and Department Administrators providing advice concerning budget, income, and expenditures
Develop the School’s annual budget with the Head of School and the Finance Administrator
Assist the Head of School and Board to set tuition each year
Perform Comptroller duties such as cash counting, reconciling petty cash, banking/deposits, credit card management, and providing the financial checks and balances for the Finance Administrator
Contribute to Employee Handbook, Policies and Procedures, and other documents as needed
Assist the Head of School with accreditation
Maintain all business, corporation, contracts, and tax files
Manage the school’s SharePoint site, Microsoft 365 accounts, FACTS SIS security, Google Classroom, and employee hardware.
Maintain school professional memberships, professional affiliations, and non-technical subscriptions
Liaison with the Department of Elementary and Secondary Education for non-public school registry and grant applications

Human Resources 
Manage the payroll system (Checkwriters) for all employees
Oversee benefit administration including Paid Time Off
Assist the Head of School in drafting annual employment agreements
Manage the onboarding and offboarding of employees and substitute teachers
Maintain, audit, and update job descriptions for each position and post as needed for open positions
Assist the Head of School with interviews, hiring, and budgeting for personnel needs
Enter and update employee and substitute teacher information in FACTS and SharePoint
Manage claims and complete annual audit for worker’s compensation
Create and maintain personnel files for all employees
Maintain employment law postings
Maintain annual certification for background check processing
Consistently and joyfully demonstrate excellence in work, punctuality, speech, attitude, dress, and attention to administrative duties
Cooperate with administration in annual evaluation
Cheerfully comply with all applicable policies in the Employee Handbook and with all administrative directives
